1. Definition of Group Booking
1.1 A “Group Booking” shall mean a reservation initiated by a Lead Booker on behalf of multiple individuals (collectively, the “Booking Group”), as confirmed by a duly executed Booking Confirmation issued by University Living Accommodation India Pvt. Ltd (“UL”).
2. Preferential Group Rates
2.1 Group Bookings may qualify for preferential pricing, including discounted rates or offers, subject to availability and the respective accommodation Provider’s policies.
2.2 Such rates may be lower than standard individual bookings but shall be confirmed at the time of Booking.
3. Deposit and Advance Payments
3.1 A Booking Fee and/or Booking Deposit shall be payable by the Lead Booker at the time of reservation to secure the Property.
3.2 The amount and terms of the Booking Deposit shall be governed by the respective Provider’s policies and communicated in the Booking Confirmation.
4. Cancellation Policy
4.1 Group Bookings are subject to stricter cancellation terms compared to individual bookings.
4.2 In the event of cancellation by the Lead Booker, any refund shall be contingent upon the Property being re-let for the reserved period.
4.3 The Booking Fee shall remain non-refundable under all circumstances.
5. Payment Terms and Methods
5.1 Payments shall be made in the currency specified in the Booking Confirmation and may be completed via debit/credit card, bank transfer, or other acceptable methods.
5.2 Where applicable, installment payments may be arranged in accordance with Provider guidelines.
5.3 Any failure to make payment by the due date may result in cancellation of the Booking, subject to Provider policies.
6. Value-Added Offers and Add-Ons
6.1 The Booking Group may, subject to Provider availability, receive additional perks such as value-added services, cashback, or curated experiences.
6.2 UL shall not be liable for such offers, which are vendor-driven and provided on a pass-through basis.
7. Customization and Third-Party Services
7.1 Group Bookings may be tailored to include specific requirements of the Booking Group, including bundling of third-party services such as catering, entertainment, or local activities.
7.2 Such services are subject to separate agreements directly between the Booking Group and third-party providers.
8. Guest Information Requirements
8.1 The Lead Booker shall provide UL with a complete and accurate list of all individuals forming the Booking Group, along with their contact details, prior to the Check-In Date.
8.2 The Lead Booker accepts responsibility for the conduct and compliance of all members of the Booking Group throughout the Stay.
9. Air Travel Coordination
9.1 Group bookings related to air travel, including for student groups, may be managed separately and are not governed by these Terms.
9.2 Such arrangements may allow for central coordination and potential cost efficiencies, but shall be subject to airline-specific terms.
10. Role of UL and the Provider
10.1 UL acts solely as a facilitator and referral agent and holds no ownership interest in any listed Property.
10.2 All Bookings are ultimately governed by the contractual terms of the respective Provider or Owner, and the Lead Booker acknowledges that such terms are binding on the Booking Group.
Group Stays (Terms and Conditions)
We are University Living Accommodation India Pvt. Ltd., a company registered in India incorporated under Companies Act, 2013, having GSTN No 09AABCU9208L1ZW Our registered office is at Riana Aurelia Plot No- 93-94, 8th Floor, Sector-136, Noida- 201305. We act as a marketplace for the Provider / Owner in the letting of their Property to you, the Lead Booker (“You/Your/Lead Booker”). Group Stays does not hold any ownership in the properties.
The following Terms will apply to your stay which is booked through us.
Our Terms
1. DEFINITIONS
1.1 When the following words with capital letters are used in these Terms, this is what they will mean:
Booking: Your request to stay at the Property as made via the Booking Form on our Website or over the phone and then confirmed in a Booking Confirmation;
Booking Confirmation: our email confirmation of Your Booking after we receive and accept Your Booking Form;
Booking Fee: a fee per Booking, required from You when making the Booking to secure the Property has been informed and communicated to you.
Booking Form: the booking form provided via the Website which the Lead Booker has to complete before the Booking for the Stay is confirmed;
Booking Deposit: Payable in accordance with Provider terms and UL facilitating the same
Business Days: a day, other than a Saturday, Sunday or public holiday in India, when banks in India & destination country of choice are open for business;
Change Fee: Charged in accordance with Provider Terms;
Check-in Date: the date on which Your Stay will begin and the Property will be made available to You as set out in the Booking Confirmation;
Departure Date: the date on which Your Stay at the Property will end as set out in the Booking Confirmation;
Event Outside Our Control: as defined in clause 14 of these Terms;
Cost: the total cost for Your Stay as indicated in the Booking Form;
Lead Booker: the individual person who makes the Booking and completes the Booking Form and who has responsibility for the Booking in accordance with these Terms;
Owner: the owner of the Property (or their representative);
Privacy Policy: a separate document made available here: www.universityliving.com/privacy;
Property: the property as defined within the Booking Confirmation;
Property Description: the description of the Property on our Website;
Property Specific Terms: any specific terms that apply to the Property You have chosen to make a Booking and abide by the Deposit and installment payments specific to the property.
Terms: the terms and conditions set out in this document;
Security Deposit: a refundable (subject to the conditions in clause 9 of these Terms being met) deposit payable to cover any breakages and damage to the Property or its contents during Your Stay;
Stay: the period of time for which the Property is made available to You as set out in the Booking Confirmation and agreed by Us; and
Website: our website to be found at https://www.universityliving.com
Your Booking Group: means the individuals the Lead Booker is making the Booking for who will stay at the Property as confirmed by You in writing to Us before the Check-In Date.
1.2 When We use the words "writing" or "written" in these Terms, this will include e-mail unless We say otherwise. Also Whatsapp may be used for communication which shall be finally documented on email.
1.3 Unless the context otherwise requires, words in the singular shall include the plural and visa versa.
1.4 References herein to a clause are to a clause or clauses of these Terms.
2. OUR CONTRACT WITH YOU AND YOUR CONTRACT WITH THE OWNER
2.1 These are the terms and conditions which will apply to any Booking made with Us and which will apply for the duration of your Stay. These Terms tell You who we are, how we will provide services to You, how You and we may change or end the contract, what to do if there is a problem and other important information.
2.2 You can make enquiries with us in respect of a Booking either via our Website or by telephone. Following Your enquiry with us in respect of a Booking, You must complete a Booking Form. Once we have received the completed Booking Form and any payments due to us at the time of Booking in accordance with clause 8 of these Terms your Booking will be accepted and we will send You a Booking Confirmation.
2.3 We act as referral agent for and on behalf of the Owner to provide Your Stay at the Property as set out in the Booking Confirmation and the contract for Your Stay at the Property will be with the Owner on the terms and conditions set out in these Terms. You acknowledge and accept that We do not own any of the properties listed on our Website. You also acknowledge and accept that the Owner reserves the right not to accept any Booking. Any payments received by Us will comprise of both a payment for the letting of the Property due to the Owner and a Booking Fee payable to Us. In receiving payment for the letting of the Property on behalf of the Owner as its disclosed agent any and all sums received by Us from You in respect of the letting of the Property will be paid to the Owner on Your behalf except for the Application fee. Any and all Booking Fees paid to UL are non-refundable under all circumstances, including cancellations due to Events Outside Our Control.
2.4 In making a Booking You confirm that You are over the age of 18
2.5 Please ensure that You read these Terms carefully, and check that the details on the Booking Form are complete and accurate before You submit the Booking Form to Us. Please also carefully check the Booking Confirmation when you receive it and let us know if there are any issues. Changes to your Booking following receipt of the Booking Confirmation not caused by Our error shall be subject to the Change Fee described in clause 8.7.
2.6 You acknowledge that You are making the Booking on behalf of Your Booking Group and that You will ensure Your Booking Group comply with these Terms and all times during your Stay.
2.7 Rules are incorporated into the contract with You and these are available on our Website and may be amended from time to time. Please check our Website for any changes to the Rules before Your Stay as minor changes may apply from time to time although we aim to keep such changes to a minimum. We reserve the right to charge a fee of £250 for breach of the Rules.
2.8 These Terms will become binding on You and Us when We issue You with a Booking Confirmation and You have paid all payments due in accordance with clause 8 at which point a contract will come into existence between You and Us for the administration of the Booking and between You and the Owner for the Stay with us acting as referral agent for the Owner. UL shall not be deemed to have entered into any binding arrangement until a Booking Confirmation is issued and the applicable Booking Fee is received in full.
2.9 Please take all reasonable steps to ensure that the Property is suitable for Your needs before submitting a Booking. We and / or the Owner cannot be held responsible for ensuring the Property is suitable for Your needs or those of Your Booking Group in any way.
2.10 Any descriptions, illustrations, photographs and other imagery displayed on our Website are self-explanatory.
3. PROPERTY SPECIFIC TERMS
Any Property Specific Terms shall be incorporated into these Terms and breach of any of the Property Specific Terms will be treated as a breach that entitles the Owner to cancel the contract with You. If there is any conflict between these Terms and the Property Specific Terms, the Property Specific Terms shall prevail.
4. YOUR STAY AND USE OF THE PROPERTY
4.1 The Owner will supply the Stay to You for the period set out in the Booking Confirmation upon the terms and conditions set out in these Terms.
4.2 As the Lead Booker You are responsible for ensuring all members of Your Booking Group comply with these Terms. The maximum number of people who can stay in the Property is set out in the Property Description (but will be subject to any overriding government restrictions restricting numbers) and You warrant that You will not at any time during Your Stay exceed that number or exceed any government restrictions on numbers applicable at the time of the Stay. As the Lead Booker You acknowledge that it is Your responsibility to ensure these Terms are complied with by You and any guest who You invite for the Stay and there is no contract between the Owner/Us and any guest You invite for the Stay. As Lead Booker You acknowledge that You are solely responsible for deciding who You invite for the Stay and if numbers of guests needs to be reduced because of any government restrictions then it is Your responsibility to arrange this and it will not be the responsibility of the Owner and/or Us.
4.3 You must not part with possession of the Property or share it, except with members of Your Booking Group.
4.4 You acknowledge that any vehicle is left at the Property entirely at your risk and / or the risk of the owner of the vehicle from Your Booking Group.
4.5 You acknowledge that any bookings made with external companies for activities such as catering or pampering services are entered into in a separate agreement and We are not responsible in any way for these services provided to You by third parties. Any third party will be bound by the property Rules and must carry suitable levels of insurance. UL disclaims all liability arising from third-party services booked by the Lead Booker or Booking Group. Any claims, disputes, or damages resulting from such services shall be resolved solely between You and the third-party provider. UL shall not be responsible for vetting or supervising these third-party vendors.
4.6 Business or commercial use of the Property is strictly prohibited and the Property can only be used by You, Your Booking Group and any permitted guests as temporary holiday accommodation. These Terms do not create a relationship of landlord and tenant between Us and You or between the Owner and You.
4.7 We will confirm Your Check-in Date and Departure Date in the Booking Confirmation. You will be able to occupy the Property as per confirmation information. You will need to vacate the Property indicated in the Booking Confirmation or on our Website in the Property Description.
4.8 Pets are only permitted during Your Stay if the policy of the accommodation providers says so and if confirmed in the Booking Confirmation.
4.9 Smoking is strictly prohibited at the Property.
4.10 Wi-Fi internet access may be offered in the Property but neither We or the Owner can guarantee availability, minimum speed, unrestricted bandwidth or uninterrupted provision of internet access.
5. Indemnification
5.1 You agree to indemnify, defend, and hold harmless UL, its directors, officers, employees, and agents from and against any and all claims, losses, liabilities, damages, costs, or expenses (including legal fees) arising out of or in connection with: (a) any breach by You or Your Booking Group of these Terms; (b) any damage to the Property or third-party claims caused by Your Booking Group; or (c) any negligence, misconduct, or fraud by You or Your Booking Group.

8. TENANCY COST, BOOKING DEPOSIT AND PAYMENT INSTALLMENTS
8.1 All payments must be made in the currency as shown in the Booking Confirmation and may be made by debit card, credit card, bank transfer. Any charges raised against Us by our bank for handling direct debit payments shall remain Your responsibility and payment of any such charges will be need to be paid You.
8.5 Prices specified on our Website will include VAT if VAT is to be paid by Us and/or the Owner.
8.6 If You do not make any payment due to Us by the due date for payment under this clause 8, We reserve the right to cancel Your Stay and terminate the contract after speaking to provider and will be governed by refunds / cancellation policy of the provider. UL shall have the right to cancel the Booking and retain any amounts paid to date as liquidated damages for administrative costs incurred.
8.7 We reserve the right to charge a Change Fee, being an administrative fee for accommodating any changes requested by you to the Booking following your receipt of the Booking Confirmation. The Change Fee shall be applied entirely at Our discretion but shall not apply in the event of Our error or where we are unable to accommodate Your request.
9. CARE OF THE PROPERTY
9.1 You must ensure that the Property is taken care of.
9.2 You are required to keep the Property and all furnishings, fixtures, fittings and effects in the same state of cleanliness, repair and condition as they were in prior to Your Stay and will be responsible for any damage to the Property or the furniture, fixtures, fittings and effects that occurs during Your Stay.
9.3 Any complaints about the Property, including concerning any defects, broken appliances or cleaning standards, must be made to the Owner (or their representatives as confirmed in correspondence by Us prior to Your Check-In Date) immediately on Your Check-In Date and no later than within 24 hours of Your arrival so that remedial action can be taken if necessary. Thereafter You will be deemed to have accepted the condition of the Property.
9.4 Any default or damage that occurs in the Property during Your Stay must be reported immediately and within 24 hours.
Security Deposit:
9.5 We may request that You pay a Security Deposit to cover the cost of any damages or breakages which You make to the Property during Your Stay or for Your failure to keep the Property clean and tidy. Security Deposit will be requested in Your Booking Confirmation as per provider policy.
9.6 The Property shall be checked following Your Departure Date and details of any damages/loss incurred and/or additional cleaning costs and to confirm any deductions to be made to Your Security Deposit as per provider guidelines.
9.7 Provider will process Your Security Deposit and refund any monies owed to You in accordance with our Security Deposit Policy.
9.8 We reserve the right to instruct a third party to administer the Security Deposit, comprising of collection, retention and return. If a third party is instructed by provider, the Security Deposit will be administered in accordance with the terms agreed between Provider and the third party.
9.9 Provider, or the Owner, reserve the right to seek to recover further reasonable costs if the Security Deposit is insufficient to repair or replace any damage caused to the Property or its contents during Your Stay. In this instance Provider will request further monies to be paid by You to Provider.
Damage Waiver:
9.10 Provider may charge a Damage Waiver. You will be notified in the Booking Form and Booking Confirmation if a Damage Waiver is being charged.
9.11 The Damage Waiver will provide cover for damage, breakage and any extra cleaning that is required up to a nominal amount as confirmed by Provider in the Booking Confirmation.
9.12 Provider, or the Owner, reserve the right to charge You for the cost of repairing any damage and/or replacing damaged items caused by You or Your Booking Group that exceed the value covered under the Damage Waiver. In this instance Provider will request further monies to be paid by You to Provider.
10. ACCESS AND POSSESSION
10.1 You must allow the Owner and/or Provider access to the Property at all reasonable times and in the case of emergency at all times.
10.2 Provider respectfully requests that due consideration is shown to the inhabitants of neighbouring properties and noise is kept to a minimum, particularly late at night or in the early morning.
10.3 You must not do anything that may reasonably be considered to cause a nuisance or annoyance to the Owner or to any other occupier of adjoining or neighboring premises.
11. YOUR RIGHTS TO CANCEL AND PROVIDER REFUND POLICY
11.1 If You change Your mind and would like to cancel Your Booking, please contact Provider in writing by email or letter with a copy of Your Booking Confirmation as soon as possible.
11.2 For the avoidance of doubt You shall remain liable for all payments due in respect of the Booking whether or not they have been paid at the time of cancellation. Upon notice of cancellation from You, We will use reasonable endeavors to re-let the Property for the cancellation period. If Provider is successful in re-booking the Property then You will be refunded the difference between any payment You have made to Provider less the sums received from the re-booking after deduction of all costs and expenses incurred by Provider. The Booking Fee is non-refundable.
12. PROVIDER RIGHTS TO CANCEL AND REFUND POLICY
12.1 Provider or the Owner may have to cancel a Booking before the Check-in Date due to an Event Outside provider Control or if the Property is no longer available. Provider will promptly contact You if this happens.
12.2 Provider will, if possible and as soon as reasonably practical, offer You:
a) alternative accommodation of a similar type, standard, location, and price if available;
b) different dates for the same Property; or
c) a full refund.
12.3 If You do not wish to accept an alternative property or another property is not available, You will receive a full refund as per provider refund policy.
12.4 Provider may cancel the contract for Your Stay at any time with immediate effect by giving You written notice if You:
a) do not pay Provider when You are supposed to; or
b) break the contract in any other material way.
12.5 The full extent of Provider and the Owner’s liability is as set out in clauses 13 of these Terms.
13. LIMITATION OF LIABILITY
13.1 Subject to clause 13.2, the Agent and the Owner’s total liability to You shall not exceed the total amount paid by You for the Booking under these Terms. UL’s liability shall be strictly limited to the Booking Fee retained by UL. UL shall not be liable for any indirect, consequential, or incidental damages, including loss of opportunity, business, or enjoyment, even if advised of the possibility thereof.
13.2 Neither party, nor the Agent, limit their liability for;
a) death or personal injury caused by the parties’ or Agent’s negligence, or the negligence of the parties’ or Agent’s employees.
b) fraud or fraudulent misrepresentation; or
c) any liability it would be unlawful to exclude.
13.3 We strongly recommend You consider taking out a suitable insurance product to cover against unexpected costs such as cancellation charges, curtailment or delay to Your Stay and that such cover includes adverse weather conditions, illness affecting You or any member of Your Booking Group, transportation cancellations and government restrictions which may prevent You from travelling to or staying at the Property.
13.4 The Owner only provides the Property for private use. If You or Your Booking Group use the Property for any business or commercial purpose the Owner will have no liability to You or Your Booking Group for any loss including; loss of profit, loss of business, business interruption, or loss of business opportunity.
13.5 The Owner does not have any responsibility or liability to You (other than as outlined above) for loss of or damage to any of Your items, belongings or vehicles, howsoever caused.
14. EVENTS OUTSIDE OUR CONTROL
14.1 Neither party, nor the Agent, shall be in breach of these Terms nor liable for delay in performing, or failure to perform, any of its obligations under this agreement if such delay or failure result from events, circumstances or causes beyond its reasonable control.
14.2 An Event Outside Our Control includes, but is not limited to: fire, explosion; storm or other weather damage; break-in or other criminal damage, strike, civil unrest, civil emergencies, government prohibition or restriction on all or part of the economy or trade including local lockdowns, pandemic, epidemic, environmental disaster or utilities failure or interruption.
14.3 In the event of a pandemic, epidemic or restriction of the movement of people as dictated by the government or public authority, We reserve the right to issue specific terms at such a time via the Website and will communicate this to You via the contact details provided us.
14.4 Should any event or circumstance beyond our reasonable control occur which means the Property cannot be provided to You, we will let You know as soon as possible so alternative accommodation and/or a refund can be arranged for You.
15. INFORMATION ABOUT US AND HOW TO CONTACT US
15.1 If You have any questions or if You have any complaints, please contact Us.
15.2 If You wish to contact Us in writing, or if any clause in these Terms requires You to give Us notice in writing, You can send this to Us by email on care@universityliving.com We will confirm receipt of this by contacting You in writing. If We have to contact You or give You notice in writing, We will do so by e-mail to the address You provide to Us on the Booking Form.
16. HOW WE MAY USE YOUR PERSONAL INFORMATION
16.1 We will use the personal information You provide to Us in accordance with our Privacy Policy.
17. THE WEBSITE AND ADVERTISING INFORMATION
17.1 We take every care to ensure the accuracy, both written and verbal, of the Property, the locality and local amenity details.
17.2 Whilst We keep our illustrations, photographs, and other imagery as up to date as possible, any illustrations, photographs and other imagery displayed are for illustrative purposes only and subject to change. Whilst We make every effort to ensure the accuracy of the information contained in our advertising and other promotional literature, the information and prices may have changed by the time You come to book or there may have been an error. You must check all material details of the Property with us at the time of submitting a Booking Reservation. We cannot accept any responsibility or liability for any inaccurate, incomplete, or misleading information about the Property or its facilities and/or services, except in the case of negligence by us.
17.3 Any information regarding the local area and activities that may be shown in our literature or on our Website are outside our control and are not supplied by us. Whilst we endeavour to keep this information up to date, we cannot guarantee that it is accurate or complete.
17.4 You acknowledge that Our staff have no authority to vary these Terms and that You have not relied on and shall have no right or remedy in respect of, any statement, representation, assurance, or warranty (whether made negligently or innocently) other than as expressly set out in these Terms or confirmed in accordance with clause 3.
18. OTHER IMPORTANT TERMS
18.1 We may transfer Our rights and obligations under these Terms to another individual, but this will not affect Your rights or Our obligations under these Terms.
18.2 You acknowledge that the Owner may enforce any and all of the Terms of this agreement against You.
18.3 Except for You, US and the Owner, no other person shall have any rights to enforce any of these Terms.
18.4 Each of the paragraphs of these Terms operates separately. If any court or relevant authority decides that any of them are unlawful, the remaining paragraphs will remain in full force and effect.
18.5 If We or the Owner do not insist immediately that You do anything you are required to do under these Terms, or if We or the Owner delay in taking steps against you in respect of Your breaking these Terms, that will not mean that You do not have to do those things and it will not prevent Us or the Owner taking steps against You at a later date.
18.6 These Terms replace and supersede all previous booking conditions and will apply to all new Bookings after the date they are posted on our Website.
18.7 These Terms are governed by Indian law. All parties agree to submit to the exclusive jurisdiction of the Indian courts in the event of a dispute at Delhi.
18.8 UL to decide on booking and decision of UL shall be final since the offers of providers are indicative. Providers are country specific and the bookings shall be provider subject to availability.
18.9 VAS offers will given back to back from vendor and UL shall not be responsible for the same since it is all vendor policy driven and UL is facilitating the same.
Definition of Group Booking
A group booking refers to a reservation made by a designated Lead Booker on behalf of a group of individuals, collectively referred to as the “Booking Group,” with accommodation terms confirmed upon issuance of a Booking Confirmation.
Preferential Group Rates
Group bookings may attract special pricing or offers as facilitated by the accommodation provider, which may be more favorable than individual bookings.
Deposit and Advance Payments
An initial Booking Fee and a Booking Deposit are typically required to secure the property. These are governed by the provider’s policies and facilitated by the Agent.
Cancellation Terms
Group bookings are subject to a cancellation policy under which the Lead Booker remains liable for the full booking cost unless the property is re-let. Refunds, if applicable, are adjusted based on the success of re-letting and associated provider costs.
Payment Collection Options
Payments must be made in the currency stated in the Booking Confirmation. Payment methods include bank transfer, debit/credit card, and may involve installment schedules as per provider guidelines.
Additional Benefits
Depending on the provider, group bookings may be eligible for extra perks, such as value-added services (VAS), subject to availability and governed by vendor policies.
Tailored Group Experiences
Bookings can be personalized to include specific add-ons or clubbed services, including third-party activities like catering or local experiences, as separately arranged by the Booking Group.
Guest Information Disclosure
A complete list of group members is required to be submitted in writing prior to check-in. The Lead Booker bears responsibility for ensuring compliance with booking terms by all guests.
Air Travel and Logistics
While not specifically governed within these terms, group travel logistics including airline bookings may be facilitated separately, often allowing centralized coordination and cost efficiencies for student groups.
Role of Providers
University Living acts solely as a marketplace and referral agent and does not own the listed properties. Booking contracts are ultimately with the Provider or Property Owner, whose terms are binding on the group.
